Find the cartridge from the printer, not the other way round

Cartridge numbering is genuinely confusing: manufacturers use different codes in different regions for the same physical part, and a single printer family can take four or five variants. The reliable method is to start from the printer's exact model number — including the trailing letters, because an M404n and an M404dw may differ — and take the cartridge reference from that. The code printed on the cartridge currently in the machine is the next best source.

Standard or high yield

Most cartridges come in more than one yield. A high-yield cartridge costs more up front and almost always less per page, so for any printer doing real volume it is the cheaper option and it means fewer interventions. Standard yield makes sense on a low-volume machine where a large cartridge would sit part-used for a year, and on a device approaching replacement. Compare the stated page yield, which is measured to ISO/IEC 19798 at 5% coverage — a figure worth treating as a comparison between cartridges rather than a prediction of your own output, since most business documents exceed 5%.

Original or compatible

Original cartridges give the most predictable results and keep you clearly inside the printer's warranty terms. Compatibles cost less and are a reasonable choice for internal and high-volume mono printing. The pragmatic split many organisations settle on is originals in customer-facing and colour-critical devices, compatibles on the mono workhorses. Whichever you choose, standardise — a site running one cartridge family across its fleet holds far less stock than one running six.

What else the printer consumes

On many laser printers the toner is not the only wearing part. Drums, fusers, transfer belts and waste toner boxes all have their own lives, and a printer that has had six toners has usually earned a drum. Plan those in rather than discovering them.
